We have had a mixed experience with Underhills.
The process of setting up the tenancy was an absolute joke - they were utterly incompetent and gratuitoously unhelpful. They never responded to emails or returned phone calls, didn't keep us informed about what was going on, required us to travel across the country to sign a contract they could just have posted and attempted to withhold the contract from us after we had signed it (!!).
That's the bad side. The good side is that once we moved in they were really good, sorting out problems promptly and actually returning phone calls.
They were OK, when we moved out - they lost our letter giving notice to quit, but the handover process was otherwise very good and the deposit released promptly.
What agent could do to change your mind?
I'd rather have clicked a 'maybe' option, but that wasn't available. The process of arranging the tenancy was appalling, which is why I wouldn't recommend them. That said, the moron we dealt with was obviously pretty new and seems to have disappeared pretty quickly, so perhaps this was atypical. Making us travel across the country to sign the tenancy was entirely unnecessary and extremely inconvenient.

It's hard to offer a direct response because we do not know the tenant/client involved, and the circumstances don't reflect either our policies or experience - we'd certainly have no problems in sending and receiving contracts by email/post/scan, so perhaps there was some misunderstanding at work, here. We do, of course, respond to calls and emails as quickly as possible, so again this might reflect a failure of messages to get through from one side or the other. Sometimes - though again without knowing the circumstances we can't be specific - we do have to follow directions and instructions from our landlords, who after all are the people to whom we have first responsibility and whom we are acting for, especially before a tenancy agreement is signed and the tenancy commenced. This might also explain some of the issues flagged here. We'd welcome a direct contact from the tenant so that we can review our case notes and policies.

It is, though, refreshing to hear that the tenancy itself was managed efficiently, with all problems resolved quickly, and with an effective and prompt handover and return of the deposit. I'm sure prospective tenants and landlords will be glad to know that our management of the property - their home or business investment - is conducted smoothly and without problems, even if the commencement of this individual, isolated tenancy seems to have been a little laboured.

Hi Monika, many thanks for your kind words. We do very strongly believe that the best way to look after our Landlords, is to look after our tenants. Happy tenants care for their home, pay rent on time, and stay for as long as their circumstances allow. No fees information available
Kindly note that legally, letting agents need to publish information about their tenancy fees, government-approved redress schemes and client money protection schemes on their website and on third party websites (on which agents are listed). For properties to lease/rent in England, agents need to keep this information up to date and precise on allAgents or specify within the property description.

Complaints Procedure

In the first instance, we would encourage customers to deal frankly with whichever staff member they have been speaking to. We operate on a policy of honesty, openness and full disclosure.

If we have inadvertently done something that you are not happy with, we would far rather that you raised it with us, so that we can take appropriate action, whether that be undoing something done in error, or explaining something done with a purpose that you were unaware of.

If you are not happy with the outcome, then formal complaints should be made in writing to Melinda Fonda, Managing Director, Underhill Real Estate Agents, 67 South Street, Exeter EX1 1EE.

The complaint will be treated with the utmost gravity, either by Melinda in person, or if she has been involved in the events leading to the complaint, by one of the other Directors. A final viewpoint letter will be issued by the company after a thorough investigation.

In the event that matters are still not addressed to your satisfaction, we are subscribed to The Property Ombudsman scheme, and adhere to their procedures. We will provide full details of how to take a complaint to their arbitration, and you can read their information directly at https://www.tpos.co.uk/.
