Disappointed with the service from Royston & Lund, as tenants we felt like the lettings agency did not care or respect our opinion. The previous inventory was not aknowledge and they tried to barge us a substantial amount which was not warranted. Not only did we not feel valued as tenants but also human beings.

I have fully investigated your complaint in order to try and ensure that we are providing the best possible service. OUR PROCEDURES In order to ensure an impartial service to landlord and tenant we always use independent third party Inventory Clerks for our Inventory and Check Out services, the signed inventory for each tenancy is used for all check out inspections/reports. Following this we seek landlord instructions as to proposed deductions (if any) from the deposit. Whilst we may guide a landlord in this area, ultimately we take their instructions. Once received, we then present the proposed figure to the tenants for their comment. If they disagree then we go back to the landlord to see if we can come to an alternative agreement. If all fails then we refer the matter to The Dispute Service for fully independent arbitration. THIS PARTICULAR TENANCY The Check Out Report was fully based on the original Inventory which is in line with industry standard and our normal practice. I can see in this case that the initial amount proposed for deduction in line with the landlord's instructions was £432.00. The tenants disagreed with this amount. We went back to the landlord to see if he would be prepared to lower the amount claimed in order to try and settle matters and a lower figure of £331.39 was suggested. The tenant did not agree to this and suggested a figure of £136.39 as an amount they would agree to and raising the amount to £150.00 as their final offer as way of settling matters. The offer was not accepted, so the amount of £136.39 went to the landlord as an agreed amount and the undisputed amount of £618.61 was sent back to the tenant's bank account. The remaining disputed amount" left of £195.00 was sent to The Dispute Service for them to independently arbitrate the matter and to decide how this should be awarded between landlord and tenant. They awarded this £110.00 to the tenant and £85.00 to the landlord. This resulted in total deductions of £221.39 from the deposit. As a joint ex-tenant you will have a a copy of the report from TDS along with the allocations. CONCLUSION We feel that the Check Out process was followed through in a professional manner and in line with industry best practice. We kept the tenants informed of the landlord's instructions and comments at all times. We tried to resolve matters for both landlord and tenants as best we could and when this was not possible, we concluded matters with independent arbitration. We feel that the above review is an unfair representation of what happened and the service provided in accordance as our role as lettings agent.

Kindly note that legally, letting agents need to publish information about their tenancy fees, government-approved redress schemes and client money protection schemes on their website and on third party websites (on which agents are listed). For properties to lease/rent in England, agents need to keep this information up to date and precise on allAgents or specify within the property description.

As a company accredited by Association Residential Lettings Agents, National Approved Lettings Scheme and a member of the Property Ombudsman scheme we aim to provide the highest standard of service to all our landlords and tenants, but to ensure that your interests are safeguarded we offer the following procedure.
1. If you believe you have a grievance, please write in the first instance to Mrs F Longhurst at Royston & Lund Lettings, 3 Fountain Court, Gordon Road, West Bridgford, Nottingham. NG2 5LN.
2. The grievance will be acknowledged within 4 working days and then investigated thoroughly in accordance with established “in-house” procedures. A formal written outcome of the complaint will be sent to you within 21 days. If we require longer than this timescale we will advise you in writing and confirm our revised response date.
3. If you remain dissatisfied with the result of the internal investigation, please contact Mrs S Caine who will review the complaint.
4. Following the conclusion of our in-house review, we will write to you with a final written statement.
5. If you are dissatisfied with the conclusion of the in-house review of the complaint, you can refer the matter to the Property Ombudsman, Milford House, 43-45 Milford Street, Salisbury, Wiltshire, SP1 2BP. Telephone 01722 335458.
