When you create a profile or write a review on the allAgents, we generate a personal account for you on allAgents ("Account") and collect the following information which is mandatory. The purpose of the collection of this information is to identify you as a unique user when you log on to the allAgents.

You can add or update your additional details in My Account section after logged in. This additional details will be telephone, photo, address. You have full rights to enable or disable them to be visible in your profile page.

The various types of profiles created by us for each unique roles, collects different sets of information and will also be part of Master data.

1.2 Information in reviews for Agents

When you write a review about agent, we may collect the information you state in the review, including which agent/branch you reviewed, which service(s) the review concerns, and how you evaluate that agent.

We collect more information than any generic reviews website, however, this is to provide more realistic data and statistics to help buyers/tenants to find perfect home and agents to build/grow their business on realistic terms. For instance, many agents cover more than one postcode outwith their location and asking for sold price helps to differentiate firms who are specialise in low volume but high value properties from ones that deal in high volume bread and butter homes.

When you write a review for a agent on allAgents, people can show that they find this review useful, we collect how many people read your review, found your review useful but we dont track their identities. Just use this for usability & statistics of each review. or would like to comment on your review.

1.5 Information when you Contact Agent/Request Valuation

The information that you enter into any of the forms we offer to allow you to contact agents is recorded by us and then sent to the agents that you chose to contact or agents which are covering you postcode. This helps them provide you with a more personalised service. We also send the agents details of your last search to help them find property that matches your requirements more closely.

1.6 Information in Property Portal

When you browse through our property portal, we saved your searches, so we can show them in our recent searches.

When you click on Request Details for any property, we record some information and send them to agent who has advertise that property. We will tell you which agent we are sending your details and show disclaimer for your consent before 'Send Request to Agent'. Details we collect are as below.

If you register with us and save properties you are interested in, we can identify which properties you have saved. We may anonymously aggregate these details to indicate how many users have saved a particular property, but we will not make available to third parties any personal data relating to which users have saved which properties.
Property Alerts and Saved Searches

If you register with us, save searches and/or use the property alerts feature to receive notification when new properties matching your criteria are added to our website, we record the settings you use and which properties have been sent to you. We do not make any information about any property that has been sent to you available to our advertisers or third parties.

If you are not register user, we save your searches in Cookies, so we can show them in Recent searches.

1.7 Information in Job Portal

When you click on Apply Online for any Job listed, we record some information and send them to employer who has advertise that job. We will tell you which employer we are sending your details and show disclaimer for your consent before 'Apply'. Details we collect are as below.

We do not make any information about any job that has been sent to you available to our advertisers or third parties.

1.8 Information in Staff profile

Staff profiles are unique to each individual. Biggest Advantage is a review can be assigned to 2 staff members by reviewer. Also when staff changes his job, he can request for reassigning him to his new company with his own reviews, his portfolio of previously sold properties. You can make changes to your settings from your Account Settings and have full control of what information showuld be visible on your profile page. Your profile is created by your company. They can also update your details, you can opt out if you think your company should not update your personal information. Alternatively, your profile is created when reviewer add you name in their review. In this case, you can claim your profile.

When you make a request to connect your allAgents profile with a social media network profile, you will be informed about what information we will collect prior to the request taking place.

1.12 IP addresses and browser settings

When visiting allAgents, the IP address and the browser settings of your computer are registered. The IP address is the numerical address of the computer used when visiting the Website. Browser settings are e.g. the type of browser you use, browser language, time zone etc. The IP address and browser settings are registered to enable allAgents.co.uk to trace the used computer in case of misuse or unlawful actions in connection with the visit on or use of the Website. Further, the IP address is used to get your approximate location (city level).

1.13 Newsletters

If you sign up for our various newsletters, we register the information given by you (e.g. your name, email address and newsletter preferences.).

You can sign up for our newsletters when you create an account with allAgents, submit a review or a comment on a review.

We will not hand out our mailing list to third parties, however we have adverts from selected third parties that we feel may be interest to you.

If you no longer wish to receive all or any of these newsletters from us, you may opt out of such communications by following the instructions at the bottom of any of our emails. or by logging on to your allAgents account and updating your contact permissions.

2. How do we use this information?

We use the information we have as below :

Provide our services to you, including displaying your reviews, and providing you with access to your allAgents profile.
Communicate with you. We use the information that we have to send you marketing communications, communicate with you about our productes & services and let you know about our Policies & Terms. We also use your information to respond to you when you contact us.
Promote safety, integrity and security. We use the information that we have to verify accounts and activity, combat harmful conduct, detect and prevent abuse spam and other bad experiences.
We collect IP addresses and computer host names from users leaving reviews and submitting information. This is done for the purposes of moderating genuine customer reviews.
If you change your mind about being contacted in the future, please email us at [email protected] and tell us or, if you have consented to being contacted by third parties for marketing purposes, you will need to contact them directly. Alternatively, if you are registered user, you can logged in and change your contact permissions settings.
Invite you to leave more reviews by using our Review Invitation Tool. Agents uses our review invitation tool to send you email to leave a feedback for them. allAgents are data processor and agents using this tool are data controller. So we assume that agents have your consent before sending us your details.
Contact you, if other users or agents have reported abuse for your review and if necessary, ask you to provide us documentation to verify your review or comments.
Send you our newsletters
Use in creating statistical reports for our internal purposes like audits,data analysis, fraud monitoring and prevention, in improving our website features, determining effectiveness of our promotional campaigns.

2.1 How we use your information for legal basis?

We need to process your personal information as below :

3. How do we share information shared?

We use the information we collect to provide our services and to communicate with you. We will only share your personal information outside our group in the following circumstances:

When you have consented or directed us to share the information.

With service providers or affiliate companies who perform services on our behalf.

In order to satisfy any requirement under applicable law, regulation or legal process. Or to protect our rights or prevent any concerns relating to fraud or security.

In the event of a merger or sale of all or part of our business whereby personal information may be transferred as an asset of the business.

A main purpose of allAgents is to increase the exposure and the availability of the reviews made on allAgents. Hence, we permit other services to show the reviews created on allAgents thus increasing other consumers' knowledge of your reviews.

The categories of third parties to which the information is disclosed are:

Search engines, including e.g. Google and Bing,
Facebook - when you share your review
Twitter - we tweet your name, rating, review on agents twitter account.
Property industry companies that have been reviewed on allAgents.

We may share with third parties aggregate information or information that does not personally identify you.

allAgents may be required to disclose information by a court order from a competent court of law or public authority in accordance with the existing legislation.

4. Data Controller for DPA and the GDPR

All personal data is stored securely in accordance with the principles of the DPA and the GDPR.

Information for which allAgents is the data controller
- allAgents shall be data controller for the data you enter while registering with us i.e. your full name, your password and your email address as well as IP address while leaving reviews.
- We are data controller of the information from reviewer such as name, rating and reviews shown on agents website by using our Widgets or API.
- Also for sharing users data like Property Address, Full name, Telephone and message from our Get Valuation/ Send Enquiries/ Request Details forms on allAgents with Estate/Letting Agents in your area within our directory.
Information for which you are data controller

You shall be data controller of the content you choose to show on allAgents and for the data disclosed on your profile on Social Networks, which is the consequence of the connection of your profile on allAgents with your profile on the Social Network.
Agents/Branches/Staff/Suppliers are data controller for there own profile visible on allAgents.
Reviewer are responsible for showing there display name, rating and reviews/comments on allAgents.
The estate/letting agents that post their Details are solely responsible for their accuracy and for getting enquiries relating to those properties. We do not participate in any communications between you and estate agents nor in any part of a subsequent property transaction. We host the Details in good faith but we have not verified them and we make no representations, warranties or guarantees, whether express or implied about the Details. We are also not giving you any advice (investment, financial or otherwise) in respect of any content on our Websites or recommending or endorsing any properties, products or content on our Websites.

5. Data Processor

We are data processor to Agents/Branches who are using our Review Invitation tool. Agents are responsible for ensuring that they have the relevant consent for using your personal information.
It is recommended that they add the fact that they may request feedback on our website in both their contract and website.

We collected data from them i.e. customer name, customer email, customer telephone. for creating customer profile on allAgents and send our invitation emails.
We use email to send mail inviting customer to leave a review on allAgents for that agent.
We use telephone to send SMS invitation to leave a review on allAgents for that agent.

6. Accessing/Updating/Deleting your data - Staff Profiles and General Users (reviewers, property portal, job portal users)

Whenever you use our services, we aim to provide you with access to your personal information. If that information is wrong, we strive to give you ways to update or amend it quickly - unless we have to keep that information for legitimate business or legal purposes. When updating your personal information, we may ask you to verify your identity before we can act on your request.

We keep the Master Data and other personal details you provide like reviews as long as you have an account with allAgents. If you choose to delete your account, please note that all your details including reviews will be deleted from account. Although, we will save a log of information: your name, email address and date of deletion of your account. We will keep this log for 5 years, henceforth all your log information will be removed permanently.

We may reject requests that are unreasonably repetitive, require disproportionate technical effort (for example, developing a new system or fundamentally changing an existing practice), risk the privacy of others, or would be extremely impractical (for instance, requests concerning information residing on backup systems).

We aim to maintain our services in a manner that protects information from accidental or malicious destruction. Because of this, after you delete information from our services, we may not immediately delete residual copies from our active servers and may not remove information from our backup systems.

6.1 Updating your Companies/ Business Profiles

If you discover that the information which allAgents as the data controller process about you is incorrect or misleading, You can edit your company profile by logging in to your account Alternatively, you can contact us with the correction details request.

allAgents reserves the right to block the access to your business profile. If we block your business profile, you will be informed as well as on the reason for blocking by email.

6.2. You have certain privileges under the GDPR

Right to be educated - this Privacy Policy diagrams our motivations for handling your own Data, our maintenance periods for that individual Data, and who it will be imparted to. We also share your data and reviews on third party services like Facebook.
