Introduction of a tenant fee: 10% of total receivable rent + VAT (12% incl. VAT) payable at the commencement of the tenancy and will be deducted from the monies received by RE/MAX on the Landlord’s behalf.

Rent-Collection:

Service includes:
• Advising likely rental income
• Marketing of property
• Interviewing prospective tenants
• Arranging the tenancy

• Arranging the inventory and check-in
• Handling the deposit on the landlord’s behalf

FEE CALCULATION:
(Example) On a 12 month tenancy with a rent of £1,000 per month:

Option 1: Let introduction only

Introduction of a tenant fee: £1,000 per month x 12 months x 10% + 20% VAT = £1,200 + VAT (£1,440 incl. VAT) payable at commencement of tenancy

Option 2: Rent-collection

Introduction of a tenant fee: £1,000 per month x 12 months x 10% + 20% VAT = £1,200 + VAT (£1,440 incl. VAT) payable at commencement of tenancy
AND
Rent collection fee: £1000 per month x 2% + 20% VAT = £20 + VAT (£24 incl. VAT) payable per month

Option 3: Full management

Introduction of a tenant fee: £1,000 per month x 12 months x 10% + 20% VAT = £1,200 + VAT (£1,440 incl. VAT) payable at commencement of tenancy
AND
Management fee including rent collection fee: £1000 per month x 5% + 20% VAT = £50 + VAT (£60 incl. VAT) payable per month


ADDITIONAL NON-OPTIONAL FEES AND CHARGES (FOR RENT-COLLECTION AND FULL MANAGEMENT):

Inventory report cost at commencement of tenancy:

Dependent upon the number of bedrooms, ranging from £72 (incl. VAT) for a studio/one bedroom apartment to £108 (incl. VAT) for a four bedroom property. Larger properties will be quoted on an individual basis by the independent inventory clerk. Please note that suppliers’ prices may vary. If a property has extra rooms or rooms which are excessively furnished, suppliers are likely to place additional charges.

Check out cost:

Dependent upon the number of bedrooms, ranging from £132 (incl. VAT) for a studio/one bedroom apartment to £168 (incl. VAT) for a four bedroom property. Larger properties will be quoted on an individual basis by the independent inventory clerk. Please note that suppliers’ prices may vary. If a property has extra rooms or rooms which are excessively furnished, suppliers are likely to place additional charges.

Renewal fee: 10% of total receivable rent + VAT (12% incl. VAT) payable upon renewal of the tenancy
(Contract negotiation, amending and updating terms and arranging a further tenancy and agreement)

OPTIONAL FEES AND CHARGES (FOR RENT-COLLECTION AND FULL MANAGEMENT):

Key cutting cost: £36 (incl. VAT) plus item cost
(Obtaining necessary permissions, sourcing providers and travel costs)

Addition property inspection: £72 (incl. VAT)
(To attend for specific requests; more visits are required to monitor the tenancy; or any maintenance-linked visit)

Submission of non-resident landlords receipts to HMRC: £60 (incl. VAT) quarterly
(To remit and balance the financial return to HMRC quarterly and respond to any specific query relating to the return from the landlord or HMRC)

Arrangement fee for works over £500: 10% of net cost + VAT (12% of net cost incl. VAT)
(Arranging access and assessing costs with contractors; ensuring work has been carried out in accordance with the specification of works, retaining any warranty or guarantee as a result of any works)

Deposit dispute service fee should there be an unresolved dispute and the dispute is referred to the Deposit Protection Service’s Alternative Dispute Resolution (ADR) Service: £120 (incl. VAT)
(Arranging the documents to present as evidence to the adjudicator; obtaining a signature from the oath of commissioner; travel costs)

Management of empty property during void periods: £120 (incl. VAT) per month
(If instructed by the landlord in writing, management of the property will continue while it is vacant. Service includes quarterly inspection, updating utility companies and the council, coordinating repairs and receiving and forwarding landlord’s posts)

Any other services not listed above as requested by landlord, the fee will be charged at: £72 (incl. VAT) per hour for a staff member plus cost or £180 (incl. VAT) per hour for a manager/director plus cost

FEES TO APPLICANTS/TENANTS

Reservation Fee
A reservation fee will be received to secure the property during the referencing stage and will form part of your initial payment prior to occupation of the property. It is held by RE/MAX Prestige as stakeholders between the parties. This reservation fee is non-refundable except in the circumstances that the landlord changes his/her/their mind about letting the property. If your reference/s is/are rejected, the reservation fee will be refunded less £240 (incl. VAT) tenancy administration fee, £48 (incl. VAT) referencing fee per applicant/guarantor, £180 (incl. VAT) cancellation charge, and bank charges when applicable. The proposed move-in date is subject to receipt of satisfactory references, full cleared funds and approval of the landlord. You have also confirmed that you intend to use the property as your main or only residence, that the detailed information you have given in the referencing form is correct and that you agree to references being taken from the referees, as stated.

Taking up references
RE/MAX Prestige engage an independent referencing company to perform reference checks. All prospective tenants will be asked to complete an application form. Once the form is submitted, it typically takes 72 to 96 hours to finish the report. In order to avoid any hold-ups in the referencing process, please kindly inform & authorise your landlord, employer, accountant (if any) and personal referee to respond to the referencing company without delay.

Tenancy Agreement

After the referencing stage, the tenancy agreement (a legally binding document between the landlord and you) will be drawn up. This agreement must be signed by all tenants and the landlord (or RE/MAX Prestige on the landlord’s behalf).

Standing Order Mandate
You will be asked to sign a standing order mandate to make monthly rental payments to the landlord / RE/MAX Prestige. If you pay rent directly to your landlord’s bank account and your landlord is not resident in the UK, you will be responsible for applying the provisions of the HM Revenue and Customs Non-Resident Landlords scheme for taxing UK rental income and should ask us for advice on this. This may mean that you have to deduct tax from the rent and pay to HM Revenue and Customs on behalf of your landlord. These provisions do not apply where you are paying your rent to RE/MAX Prestige.

Initial Payment

The initial payment must be received by RE/MAX prestige as cleared funds prior to possession being given and keys being released and usually consists of the following:

• One month rent in advance
(Up to 6 months’ rent may be requested if you do not satisfy the income requirements or are unable to provide a satisfactory UK guarantor. In this instance, you will most likely be a student from overseas. Guarantors from overseas are not acceptable. Therefore 6 months’ rent in advance is required and the subsequent monthly rent will be payable from the end of the first month.)

• Six weeks deposit
(Up to 8 weeks deposit may be required if you have a pet to cover the added risk of property damage)

• Tenancy administration fee at £240 (incl. VAT) per property
(Contract negotiation, agreeing/amending terms, setting up/arranging tenancy and preparing the tenancy agreement and tenancy related documents)

• Referencing fee at £48 (incl. VAT) per person (tenant or guarantor)
(Identity, immigration and visa confirmation, financial credit checks, obtaining references from current or previous employers/landlords and any other relevant information to assess affordability and suitability)

• Guarantor agreement fee at £90 (incl. VAT) per guarantor
(Setting up and preparing guarantor agreement)

• Check-in service fee when applicable
(Dependent upon the number of bedrooms, ranging from £120 (incl. VAT) for a studio/one bedroom apartment to £156 (incl. VAT) for a four bedroom property. Larger properties will be quoted on an individual basis by the independent inventory clerk. Aborted appointments will be charged at £36 (incl. VAT) + cost. Please ask your agent for details)

During the tenancy (if applicable)

• A renewal document fee of £90 (incl. VAT) will be applicable if you wish to extend your tenancy.

• A fee of £150 (incl. VAT) to renegotiate the contract terms and arrange the new tenancy agreement and tenancy related documents and £48 (incl. VAT) referencing fee per new applicant will apply if there is a change of occupancy

• £25 (incl. VAT) per late rent payment letter

• Interest charges of 4% above the base lending rate from time to time of Barclays Bank Plc will apply on any amounts owed to the landlord or RE/MAX Prestige not paid on the due date

• In the event that you wish to terminate your tenancy before the end of the term and the landlord is agreeable to early termination, you will be responsible for the repayment of the pro-rata commission paid in advance to the landlord for the unexpired segment of the tenancy. This does not apply if you are exercising a break clause which is contained in your tenancy agreement.

Other Fees and Charges

• Key replacement fee of £36 (incl. VAT) plus item cost
(Obtaining necessary permissions, sourcing providers and travel costs)

• Failed appointment charge of £36 (incl. VAT)

• Inappropriate call out charge £50 per hour (incl. VAT) plus any actual costs incurred
(Where actions of the tenants result in a call out by the agent or nominated contractor attending the property to remedy a situation of the tenants’ making, time to remedy the situation is charged at the prevailing rate)

• End of tenancy professional cleaning fee (if required)
(Dependent on the size of the property, Prices start from £180 (incl. VAT) for a studio/one bedroom property plus £50 (incl. VAT) for each additional room. In addition, carpet cleaning will be charged at £50 (incl. VAT) per room. Fee will be deducted from the security deposit)

Amendments

RE/MAX Prestige reserve the right to change the schedule of fees and these terms of business upon providing reasonable notice in writing.

Complaints Procedure

RE/MAX Prestige Complaints Procedure

Should you have a reason to make a complaint, we have implemented the following complaints procedure to help us resolve your grievance and work towards continually improving our professional services. All complaints will be investigated and dealt with at no cost to the consumer. The complainant's legal rights aren't affected throughout the process.

Stage 1.

1. Any complaint against RE/MAX Prestige (the Company) should be addressed in the first instance to the person with whom you have been dealing in respect of the matter giving rise to your complaint.

2. If you cannot obtain an explanation satisfying your complaint within 24 working hours, please do not hesitate to contact the appointed Manager listed below.

3. If your complaint has not been resolved at stage 1, or in the event of a complaint being made directly to those named below we will progress as follows.

Stage 2.

4. If your complaint was originally made verbally we would be grateful if you could summarise the nature of your grievance in writing to the Manager listed below.

5. Once we have received your written summary we will acknowledge receipt in writing, normally within 3 working days to inform you of our understanding of the circumstances leading to your complaint. We may ask for more information regarding these circumstances and we will invite you to make any comments that you may have.

6. We shall continue our investigations into the matter and normally within 15 working days of receipt of your written summary the person dealing with your complaint will write informing you of the outcome of the investigation and let you know what actions have been taken or will be taken. In some instances your complaint may take longer than this to investigate, if so we will write to you to inform you of our progress.

7. If you remain dissatisfied with any aspect of the handling of the complaint, we will then attempt to resolve it promptly by negotiation.

8. At any stage or if the complaint has still not been resolved to your satisfaction we will agree its referral to the Ombudsman for Estate Agents.
