We are property owners and in need of accommodation for the next eight months or so, it seems we are not the most ideal tennants as property owners want people to stay longer term. As a Landlady in the Torbay area I regularly use Northwoods and have always found them to be polite and efficient in what they do. They always follow my instructions and always find me good quality tenants, carrying out all the necessary checks that need to be done....

I have two rental properties in Torquay and I have used Northwood for several years. I love the continuity of staff; Sally and Simon have been there from the beginning so they know me and really understand the kind of tenant that I want in my flats. The tenants have been lovely and, another reason that I use Northwood,they have commented on the good service they have received. When my mother went into residential care, we needed to rent out her property to provide an income to cover the care home fees. We were attracted by the Northwood Guaranteed Rental scheme because this seemed to provide all that we needed. Fees

Administration Charge*

Once your offer is accepted, we will ask you to pay an administration charge of £300 (per couple or individual) to cover the costs of referencing and initial checks, and a contribution towards the preparation of the tenancy agreement and inventory.

Guarantor*

If you need a guarantor, we will need to carry out reference checks on the guarantor and charge a fee of £50 for this and the administrative work we do.
(* This is a non-refundable payment, should you not proceed with the tenancy we reserve the right to retain your reservation fee to meet any reasonable costs or loss of rent whilst the property was withdrawn from the market. This may apply whether you withdraw from the tenancy or are unable to proceed due to adverse references.)

Renewal Charge

Each time you decide to renew the tenancy for a further fixed term, a charge of £35 will be made.

Late Payment of Rent

We may charge a fee of £25 for chasing any rents that are received more than three days late from the due date.

Early release from tenancy

If you want to leave the property before the end of the tenancy, the landlord may agree to this, but ask you to pay reasonable costs in re-letting the property.

Mortgage/Landlord references

To cover our costs in administration we will charge a fee of £25 for this service.

Check out

If we are unable to complete the agreed Check Out appointment due to unreasonable delays by you on the day of the appointment, you may be charged to cover our reasonable costs.

Arrangement Fee

If we need to arrange any work at the end of the tenancy because of damage to the property caused by you, we will charge you an arrangement fee of 10% of the cost of the work. This is subject to a minimum charge of £25.

Overpayment of rent

If we need to refund you rent because you have not cancelled your Standing Order at the end of the tenancy, we may charge you an arrangement fee of £5 to cover the cost of administration.

Complaints Procedure

Complaint Handling Procedure

Northwood aims to run a high calibre lettings and estate agency business. Whilst we do our best to operate in a professional way and to the highest standards, it is possible that you may be unhappy about how we have dealt with a particular situation.

We have a standard procedure for handling complaints which is as follows:

1. Making an initial complaint

Each office is independently owned and operated and has a local Director who will be, in part or in whole, an owner of the branch. In the first instance your complaint should be directed in writing to the local Director. He or she has an honest and sincere desire to resolve your complaint as soon as possible and should respond within ten working days.

2. Making a formal complaint

If for whatever reason you remain dissatisfied then please contact us. At this point we will send you a complaint form to enable you to provide full written details of your complaint and copies of any supporting evidence. The Complaints Officer appointed will investigate and provide an independent review of your complaint.

3. Receiving your complaint

We will acknowledge the receipt of your written complaint within three working days and explain our process for resolving it. Due to the independent nature of the investigation we regret that we can only respond in writing.

4. Resolving your complaint

We will then investigate your written complaint as soon as possible and write to you as soon as we have completed our investigation. This process should take 15 working days. In our letter (the final viewpoint letter) we will explain:
?The outcome of our investigation
?What we will do to put things right if we have made a mistake


5. Property Ombudsman Review

If you are still unhappy at this stage, you have the option to take your complaint to the Property Ombudsman within six months of the date of the final viewpoint letter. The Property Ombudsman will not investigate any complaint that has not followed the in-house complaints process. Further details of the Property Ombudsman are available at tpos.co.uk
